Accounts Assistant Job in GIZ




Job Description

For the team of our Adaptation to Climate Change in the National and Local Development Planning (ACCNLDP), we seek applications from suitable candidates for the position of “Accounts Assistant”.
Job Location: Dhaka
Contract Duration: Until November 2018
Responsibilities
The position holder is responsible for:
  • Inflow and outflow of money from the bank and cash
  • Keeping track of short terms advances i.e. travel advance, procurement advance
  • Receiving of all incoming invoices i.e. stamping, signatures, classification, translation and send to Manager/Sr. Accounts officer for checking
  • Maintaining the cash record complete, accurate and do timely reconciliation
  • Timely recording of each transaction in the E-Cash book and E-Bank book
  • Closing the cash desk at appropriate time every day with proper signatures
  • Effective coordination with colleagues of the accounting department and regional office, and
  • Ensuring that provided services in the section are done according to GIZ Financial Guidelines.
In this context, the position holder fulfils the following tasks:
Tasks
Cash Handling
  • Operates ACCNLDP, RIUD and UMIMCC project accounts 
  • Operates petty cash including maintaining the cash book, monitor and follow-up the daily cash flow record and the level of liquidity
  • Is responsible for the cash in accordance to the receipts presented daily
  • Arranges and executes monthly payments such as telephone, mobile phone, e-mail, internet and other fees and its administration
Financial Administration
  • Collection and payment of vouchers to vendors
  • prepares transfers and/or other bank documents and checks these before execution
  • Enters all transactions in cash- and bankbooks
  • To assist supervisor maintaining ONSITE asset/inventory
  • To assist supervisor for preparation of budgets and financial reporting 
  • To assist supervisor for internal control/audit and reviews 
  • To assist supervisor for maintenance of programme financial files as per GIZ guidelines 
  • To assists the Sr. Accounts Officer for preparing end of month closing
  • To assist the Sr. Accounts Officer in following up unsettled advances, receivables and payables
Other Duties/Additional Tasks
  • Photocopies and scans documents as needed
  • Maintains liaison with Country office and regional offices finance team as required
  • Maintain liaison with banks
  • Reports immediately all problems involving finance and regulations
  • Assists in and/or carry out other project activities and any other tasks as assigned
  • Undertakes further job training related to his/her position and duties if required. Special training programs shall be identified and selected jointly with the GIZ Team Leader

Job Requirements

Required qualifications, competences and experience
Qualifications
  • Bachelor degree from a reputed University in Accounting/Finance & Accounting or related commerce background 
  • Good working knowledge of ICT (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Good command of English language both written and speaking
Professional experience
  • 1-3 years’ professional experience in a comparable position desirable
Competences
  • Professionalism - Adaptation of efficient working style, service oriented approach, follow up on meeting commitments, observing deadlines and achieving results.
  • Communication - Good interpersonal communication skills
  • Team work - Strong ability to work in a team and be supportive to others’ efforts and work.
